Starting with available sources (typically multiple paper and/or already digital sources), we use our document acquisition and processing toolbox to extract, collect and enrich targeted metadata for the documentation, identify and eliminate duplicates, linking documents to asset structure and document requirements (if established) and prepare the final result for import into your selected Document Management System (DMS).
A typical customer, such as a DSO or TSO, usually maintain assets having a wide age range. Some assets may be 50 years old, and some installed last week. This most often means that they also have a wide range in technical asset documentation, both when it comes to quality and form/media. Some may be on paper or scanned from paper, some as original electronic 2D drawings, and some as part of 3D BIM models.
We assist our customers in structuring this documentation, extracting meta data and matching the documentation with the requirements set up in their asset data model. We have a highly efficient toolbox, including AI/ML (Machine Learning), to classify documents, extract metadata information, eliminate duplicates and outdated documentation and more. Combined with a reliable asset repository, we can e.g. match age and date information from the technical documentation with the age information of the assets in the asset repository and use this to identify potential outdated documentation.
The final “combined and distilled” set of technical documentation from this process then represents the best set that can be produced based on available sources and the effort set aside to search, process and investigate the documentation. For historical assets this set tends typically not to be 100% complete and in accordance with your current requirements for this type of documentation, but it represents your best available set. By establishing and linking what we label as document requirements to your data model, you will be able to measure the completeness of your documentation set, i.e. the identify the gap between what you have defined as your standard and what you actually have managed to find.
The final sets of technical document are delivered on formats ready to be loaded into your Document Management Solution (DMS).
